IMC FAQ Friday: Submitting Orders with Electronic Files

Each Friday the Instructional Materials Center Team will provide answers to questions asked by educators throughout the week in the IMC FAQ Friday post. We hope these are helpful as schools place orders for students who need accessible educational materials.

Did you know that you can order materials containing multiple electronic files for the same subject in one order? For example, you might title your order “Language Arts Worksheets.”

Start by organizing the folders you will upload to Athena. Ensure there are no duplicate files and only the necessary files for the student are submitted. Do not include answer sheets unless they need to be transcribed.

Batch files by subject and organize subfolders by unit or chapter. Save them as a compressed ZIP folder with the same title you will use for your order.

To compress files or folders into a ZIP file:

  • Open File Explorer (Windows Explorer).
  • Select all files or folders you wish to compress.
  • Right-click on the file(s) or folder(s) > Send to > Compressed (zipped) folder.

Complete a pacing guide row for each unit, chapter, or month, along with the date needed for each. The print page range should represent the total number of pages in each pacing guide row—count both sides of worksheets and exclude any blank pages. Create one pacing guide row for each section you upload, not for each individual file.

Once your order is complete, select “Submit Order.” You will then be directed to a page confirming “Order Submitted Successfully.”
